Department: Oak Cliff Bible Fellowship (OCBF)

The Membership Systems Specialist supports the effective day-to-day use of the church’s Relationship Management System (RMS) and related Membership Services processes. This position serves as a key resource for user support, training, troubleshooting, documentation, registration processes, data integrity, and other system-related ministry operations. The role works collaboratively with ministry staff and volunteers to promote accurate, consistent, and effective system use while providing cross-functional support to the Membership Services team.

Core Responsibilities

Ministerial Responsibilities & Spiritual Care

All employees of Oak Cliff Bible Fellowship serve in a ministerial role that contributes to the spiritual mission and ministry of the church. As such, employees are expected to model Christian values, support the spiritual development of others, and actively contribute to a Christ-centered work environment. This includes engaging in prayer and spiritual encouragement with co-workers and church members, participating in staff meetings and Bible studies, and demonstrating a personal commitment to ongoing spiritual growth.

System Support & User Assistance

  • Develop and maintain a broad understanding of the church’s organizational structure, ministry processes, and use of the Relationship Management System to provide effective support to staff and volunteers.
  • Serve as a primary resource for user questions related to RMS processes, functionality, registrations, and approved procedures.
  • Troubleshoot user and system-related issues, identify the source of problems, recommend or facilitate appropriate resolution, and document solutions when appropriate.
  • Provide one-on-one and group support to help users effectively and appropriately navigate the RMS.
  • Escalate system issues requiring additional technical or administrative intervention to the appropriate resource.
  • Stay informed regarding system functionality, updates, ministry processes, and approved procedures to ensure accurate and consistent user support.

Training & User Enablement

  • Provide initial and ongoing RMS training for ministry staff and volunteers based on their roles and responsibilities.
  • Develop and deliver training tailored to the needs of different departments, teams, staff members, and volunteers.
  • Assess user knowledge and training needs and identify opportunities to strengthen system utilization, accuracy, and adherence to established processes.
  • Provide training and support when new or updated RMS functionality, processes, policies, or procedures are introduced.
  • Develop, update, and maintain user guides, training materials, job aids, instructions, and other reference resources.
  • Share system knowledge and effective practices with staff and volunteers to promote consistency, efficiency, and confidence in using the RMS.

System Operations & Data Support

  • Assist with the creation and maintenance of RMS events, registrations, and other system-related ministry activities.
  • Support online and manual registration processes, including troubleshooting registration issues and assisting ministry teams as needed.
  • Assist with maintaining accurate and complete records within the RMS in support of ministry and departmental operations.
  • Help protect data integrity by consistently applying and reinforcing approved data-entry standards, policies, procedures, and system practices.
  • Identify recurring system or process issues and communicate opportunities for improved efficiency, consistency, or user experience.

Process Documentation & Continuous Improvement

  • Assist with the development, maintenance, and communication of RMS policies, procedures, workflows, and operating instructions.
  • Document recurring questions, system issues, resolutions, and effective practices to strengthen internal knowledge resources.
  • Collaborate with Membership Services and ministry departments to promote consistent application of RMS processes and procedures.
  • Compile reports, documentation, or other information related to training activities, system support, registrations, projects, or assigned responsibilities.

Qualifications & Experience

  • Bachelor’s degree preferred; or an equivalent combination of education, training, and relevant work experience.
  • 3+ years of related experience in database systems, application support, system operations, user support, training, ministry administration, or a related area.
  • Experience working with database or relationship management systems preferred.
  • Experience providing training, user support, or process guidance to individuals with varying levels of technical proficiency preferred.
  • Ability to learn and understand business and ministry processes and translate those processes into effective system practices.
  • Strong customer service and interpersonal skills with the ability to support staff and volunteers patiently and professionally.
  • Ability to explain system processes and technical information in a clear, understandable manner.
  • Strong problem-solving and troubleshooting skills.
  • Ability to develop clear procedures, training materials, and user documentation.
  • Sound judgment and discretion when working with confidential ministry and constituent information.
