Department: Oak Cliff Bible Fellowship (OCBF)

The HR Coordinator provides experienced administrative, operational, and project support to the Human Resources team. This role supports the execution of HR processes across the employee lifecycle, helps maintain accurate records and systems, coordinates employee and candidate communications, supports HR programs and initiatives, and assists with reporting, documentation, and compliance activities. The HR Coordinator serves as a trusted support partner within the HR function and must be highly organized, detail-oriented, technically capable, confidential, and service-minded.

Core Responsibilities

Ministerial Responsibilities & Spiritual Care

All employees of Oak Cliff Bible Fellowship serve in a ministerial role that contributes to the spiritual mission and ministry of the church. As such, employees are expected to model Christian values, support the spiritual development of others, and actively contribute to a Christ-centered work environment. This includes engaging in prayer and spiritual encouragement with co-workers and church members, participating in staff meetings and Bible studies, and demonstrating a personal commitment to ongoing spiritual growth.

HR Operations & Support

  • Coordinate and support HR processes across the employee lifecycle, including hiring, onboarding, employment changes, performance support, employee engagement, and offboarding.
  • Serve as a point of contact for employee HR questions, providing timely, compassionate, professional, and confidential support.
  • Maintain accurate employee records, both physical and digital, in HRIS platforms, personnel files, shared drives, and other HR systems.
  • Ensure HR documentation is complete, properly stored, and maintained in accordance with retention guidelines, organizational standards, and confidentiality expectations.
  • Reconcile and process monthly billing for HR-related expenses, including employee benefits billing, supplies, vendors, operational expenses, and support services.
  • Maintain HR calendars, administrative tracking tools, recurring reminders, templates, forms, job descriptions, and shared resources.
  • Support performance management, employee engagement, recognition programs, ministry care efforts, and other HR initiatives.

HR Programs & Communication Support

  • Provide coordination and logistical support for HR programs, training sessions, lunch and learns, leadership meetings, employee meetings, and other HR-led initiatives.
  • Prepare and organize meeting materials, agendas, handouts, slides, sign-in sheets, follow-up items, and related communications.
  • Assist with the development of presentations, recognition materials, employee updates, and internal communication resources.
  • Support monthly employee updates, HR announcements, and intranet content by gathering information, preparing draft content, organizing materials, and helping ensure information remains accurate and current.
  • Help maintain HR-related content on internal platforms, shared drives, intranet pages, and employee communication tools.
  • Track participation, deadlines, follow-up items, and completion status for HR programs, training, surveys, meetings, and initiatives.

Talent Acquisition Coordination & Candidate Experience

  • Support the employment process by coordinating candidate communication, interview scheduling, pre-employment activities, background checks, employment verifications, assessments, and required new hire documentation.
  • Maintain applicant files and documentation related to recruiting efforts, employment campaigns, and hiring activities.
  • Assist with recruiting outreach efforts, including job fairs, school events, ministry events, and community recruiting initiatives as needed.
  • Support public-facing recruiting efforts by preparing materials, organizing information, and assisting with presentations regarding employment opportunities.

Data, Reporting & Compliance Support

  • Compile, analyze, and maintain HR data related to headcount, turnover, attendance, benefits, compensation, performance, recruiting, employee engagement, and other HR metrics.
  • Prepare regular and ad-hoc HR reports.
  • Maintain tracking tools, spreadsheets, dashboards, and reports to support HR operations, workforce planning, compliance, and organizational decision-making.
  • Assist with audits, compliance reviews, policy tracking, documentation reviews, and follow-up action items.
  • Maintain strict confidentiality regarding employee information, leadership matters, organizational decisions, and sensitive HR-related issues.
  • Support the implementation and communication of HR policies, employee handbook updates, procedures, and ministry standards.
  • Assist with documentation and tracking related to compliance with federal, state, and local employment laws while honoring the ministry’s faith-based mission.

Qualifications & Experience

  • Bachelor’s degree in Human Resources, Business Administration, Organizational Leadership, Communications, or a related field preferred. Associate’s degree required.
  • 3+ years of experience in HR, recruiting, operations, or employee support required.
  • Prior experience supporting HR operations, employee records, recruiting coordination, onboarding, reporting, or HR programs strongly preferred.
  • Experience working in a church, ministry, nonprofit, school, or mission-driven environment preferred.
  • Strong proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint, with the ability to create, format, organize, and maintain professional documents, presentations, spreadsheets, reports, and tracking tools.
  • Comfort working with HRIS systems, applicant tracking systems, shared drives, intranet platforms, databases, spreadsheets, digital forms, survey tools, and other technology platforms used to support HR operations.
  • Strong attention to detail with the ability to manage confidential information accurately and responsibly.
  • Ability to use digital tools to improve workflow, communication, documentation, reporting, forms management, research, and administrative efficiency while maintaining confidentiality and sound judgment.
  • Excellent organizational and time management skills, with the ability to manage multiple priorities and recurring deadlines.
  • Strong written and verbal communication skills, with the ability to interact professionally with employees, candidates, leaders, vendors, and ministry partners.
