Department: Oak Cliff Bible Fellowship (OCBF)

The Membership Data Assistant supports the accuracy, completeness, and integrity of member information maintained within the church’s Relationship Management System (RMS). This position performs routine record review, data validation, duplicate resolution, document processing, and other data maintenance activities to ensure reliable, consistent membership records.

Core Responsibilities

Ministerial Responsibilities & Spiritual Care

All employees of Oak Cliff Bible Fellowship serve in a ministerial role that contributes to the spiritual mission and ministry of the church. As such, employees are expected to model Christian values, support the spiritual development of others, and actively contribute to a Christ-centered work environment. This includes engaging in prayer and spiritual encouragement with co-workers and church members, participating in staff meetings and Bible studies, and demonstrating a personal commitment to ongoing spiritual growth.

Membership Data Maintenance & Quality

  • Review and maintain member records to support accurate, complete, and consistent information within the Relationship Management System.
  • Perform routine audits of member data in accordance with established procedures and data standards.
  • Identify, research, and appropriately merge duplicate member records while preserving required historical and supporting information.
  • Verify member demographic and contact information, including names, addresses, telephone numbers, email addresses, and other profile information.
  • Compare system information with source documentation and correct routine discrepancies in a timely and accurate manner.
  • Identify records that require additional research, clarification, or approval, and escalate them to the appropriate Membership Services team member.
  • Assist with periodic data cleanup initiatives and other projects designed to improve the overall quality of membership information.

Documentation & Record Processing

  • Review registration forms, membership documentation, and other supporting records for completeness and accuracy.
  • Enter, update, and attach appropriate documentation to member profiles in accordance with established procedures.
  • Ensure required information is properly recorded and maintained within the RMS.
  • Follow established naming conventions, documentation standards, and data-entry procedures.
  • Maintain appropriate confidentiality and security of member and ministry information.

Data Audits & Reporting Support

  • Assist with routine data audits, reconciliation activities, and record reviews as assigned.
  • Generate standard reports or provide data support for departmental reporting needs.
  • Identify recurring data discrepancies or quality concerns and communicate them to the appropriate Membership Services team member.
  • Assist with tracking and documenting data cleanup activities when required.

Membership Services Support

  • Provide backup administrative support to Membership Services during periods of increased activity or staff absences.
  • Assist with routine member inquiries, registrations, record updates, and other designated Membership Services functions.
  • Participate in cross-training to develop familiarity with essential departmental processes and responsibilities.
  • Collaborate with Membership Services staff and other departments to support accurate and timely processing of membership information.
  • Perform other related duties and special projects as assigned.

Qualifications & Experience

  • High school diploma or equivalent required. Associate degree or coursework in business administration, information systems, data management, or a related field preferred.
  • 2+ years of experience in data entry, records management, database support, membership services, administrative support, or a related area preferred.
  • Experience working with a customer relationship management, membership management, or similar database system preferred.
  • Strong attention to detail and commitment to accuracy.
  • Ability to review information carefully and identify inconsistencies, duplicate records, missing information, and other data-quality concerns.
  • Ability to follow established procedures, data standards, and documentation requirements consistently.
  • Strong organizational and time-management skills.
  • Proficiency with Microsoft Office applications, particularly Excel, and the ability to learn database and relationship-management systems.
  • Ability to handle confidential and sensitive information with discretion.
  • Effective written and verbal communication skills.
