Department: Oak Cliff Bible Fellowship (OCBF)
The Administrative Assistant provides high-level administrative and organizational support to an Executive Director, ensuring the effective coordination of daily operations, communications, and priorities. This role is responsible for managing schedules, organizing information, and supporting key initiatives to enable the leader to operate with clarity and efficiency. This position must demonstrate strong attention to detail, discretion, and the ability to manage multiple priorities in a dynamic environment.
Core Responsibilities
Ministerial Responsibilities and Spiritual Care
- Demonstrate a personal commitment to Jesus Christ and alignment with the philosophy, ministry, and vision of Oak Cliff Bible Fellowship.
- Support the spiritual, social, emotional, and physical well-being of the church family through prayer, presence, and ministry engagement.
- Provide prayer, spiritual assistance, and ministerial support to coworkers and individuals encountered in the course of work.
- Model a lifestyle consistent with biblical principles and the church’s core values.
- Engage in ongoing spiritual discipleship while faithfully carrying out essential job responsibilities in support of the church’s mission to disciple believers and impact the world.
Executive Support & Coordination
- Manage calendars, schedule meetings, and coordinate appointments for the Executive Director
- Prepare agendas, materials, and logistics for meetings and events
- Track priorities, deadlines, and follow-ups to support effective time and task management
- Assist in coordinating day-to-day activities and ensuring alignment with the leader’s priorities
Communication & Information Management
- Serve as a point of contact for internal and external communications on behalf of the Executive Director
- Draft, review, and distribute emails, documents, and other communications as needed
- Maintain organized records, files, and documentation for easy access and reference
- Ensure timely and accurate communication across teams and stakeholders
Project & Operational Support
- Support coordination of projects and initiatives by helping organize timelines, materials, and updates
- Coordinate logistics for meetings, events, and team activities
- Prepare agendas, timelines, and updates for planning and execution meetings
- Take notes during meetings, when needed, and track action items to ensure follow-through
- Assist in preparing reports, presentations, and other materials for leadership use
- Assist with processing invoices, expense tracking, and basic budget-related tasks as needed
- Support general administrative needs of the department, ensuring smooth day-to-day operations
- Maintain systems and processes that improve organization and efficiency
- Help identify opportunities to streamline administrative workflows
- Ensure accuracy and consistency in documentation and coordination efforts
Qualifications & Requirements
- Bachelor’s degree or equivalent experience in business administration or a related field preferred
- 2–4 years of administrative or executive support experience
- Strong proficiency in Microsoft Office and Google Workspace, including calendar management, document preparation, spreadsheets, and presentations
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills
- Ability to quickly learn and navigate internal systems and tools
- High attention to detail and follow-through
- Ability to handle sensitive information with professionalism and discretion
